Handling of Uncollected Degree Certificates
for Graduates of Undergraduate Programmes
Starting from 2025, the Registry will arrange to dispose uncollected degree certificates after seven years of students’ graduation. A one-time exercise is arranged for collection and disposal of uncollected degree certificates from 2 January to 31 December 2025 for graduates of undergraduate programmes of 2016-17 and before. Any uncollected certificates of graduates of 2016-17 and before will be securely disposed of after 31 December 2025.
Graduates may collect their certificates according to the information below. However, for any graduates with outstanding debts to the University, their degree certificates will be withheld (see point (3) below).
Graduates may use our online application system under CUSIS to request that the certificate be sent to them by Speedpost. Detailed arrangements are available on the relevant webpage of the Registration and Examinations Section homepage. The fees for delivery of degree certificate (Speedpost) are as follows.

However, the University accepts no responsibilities for any loss/defacement and delay of the degree certificate during postal delivery by the Speedpost service. The normal processing time is 5 – 7 working days upon receipt of the application. For the estimated delivery time by Speedpost, please refer to the website of Speedpost. Graduates who wish to use other courier services instead of Speedpost should collect the certificate by authorization with reference to the information listed in (2) and make their own arrangements for other courier services.
Graduates may collect the degree certificate in person or by authorization at the time specified below. Graduates are required to present their original HKID card (not scanned copy on mobile device) in collecting the certificates. Graduates may also authorize another person to collect on their behalf by completing the “Authorization Form for the Collection of Degree Certificate of Undergraduate Programmes” and present the relevant identification documents.

Clause 14.1 of the General Regulations Governing Full-time Undergraduate Studies stipulates that “The Degree Certificate shall be issued to a student after s/he has been conferred a degree by the University. Degree Certificates for graduates with outstanding debts to the University will be withheld until the accounts are settled.”
If graduates have any outstanding items, e.g. unreturned library materials, late payment penalty, etc., please settle them with relevant offices as soon as possible.
The degree certificate is an important document. Please keep it in a safe place after collection. We regret that any degree certificates uncollected for SEVEN years from the award year will be disposed of without further notification.
A one-time arrangement is made for graduates of 2016-17 and before to collect their degree certificates on or before 31 December 2025. If these graduates do not make arrangements for collection or receiving the degree certificate via Speedpost by the end of 2025, the uncollected degree certificates will be securely disposed. In such case, graduates may apply for a replacement copy following the protocol as stipulated in RES homepage, if necessary.
